- your name;
- your email address;
- your mobile telephone number;
- your region of residence;
- the date and time of your submission;
- the landing page, source, campaign, advert and form associated with your submission, including campaign identifiers such as UTM values or a Meta click identifier;
- technical delivery and cookie-preference information made available by your browser, Meta or our connected systems; and
- subsequent engagement information, such as whether an access email was delivered or a masterclass link was selected.
Your name, a valid email address, a mobile telephone number and your region of residence are required to provide the requested access, route relevant learner support and understand the broad geographic demand for the masterclass. We will not use the details submitted through this access form for promotional email, calls, SMS or WhatsApp marketing without a separate, channel-specific permission.
We receive the form information directly from you through our website or from Meta Platforms when you choose to submit a Meta form. We may also receive updated information directly from you when you contact us or use the learning service.
Please do not submit sensitive or special-category information through the lead form.
3. Why we use the information

4. Free recording access terms
The Gatehouse masterclass recording is provided without payment for personal learning. Access may not be sold, shared publicly, redistributed or used to reproduce The True Troop Consulting Ltd's training materials without written permission.
The recording is educational and does not replace project-specific professional advice, employer procedures or independent competence assessment. Access does not guarantee certification, employment or a particular commercial result.
We may update, replace or withdraw the free recording where needed for security, accuracy, licensing or service availability. For reasonable access support, contact support@thetruetroop.com.
5. Platforms and service providers
We use service providers to collect the request, manage the contact record and deliver the training. These include:
- Meta Platforms, including Facebook and Instagram, to display the advert, provide campaign attribution and, where used, collect an Instant Form submission;
- Netlify to host and securely deliver the landing page;
- HighLevel/LeadConnector to receive the lead, maintain the contact record, record campaign and interest tags, manage the opportunity pipeline and send the requested access email;
- ClientClub to provide the Gatehouse masterclass and related course access; and
- LeadConnector Email System, using the sending configuration in our HighLevel account, to send access and necessary support messages.
These organisations may act as processors, independent controllers or both, depending on the activity. We require processors to handle personal information only on documented instructions, protect it appropriately and support our data-protection obligations.
Meta may also process information for its own purposes under its terms and privacy notice. Your use of Facebook or Instagram remains subject to Meta’s own privacy information.
7. International transfers
Some providers may process personal information outside the United Kingdom. Where UK personal information is transferred internationally, we use an applicable lawful transfer mechanism and any necessary supplementary safeguards. This may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses or another mechanism permitted by UK data-protection law.
8. How long we keep information
| Record | Retention approach |
|---|---|
| Unconverted masterclass lead and fulfilment record | Up to 24 months after the most recent meaningful interaction, unless a shorter period is sufficient. A meaningful interaction means a deliberate action such as requesting support, selecting the masterclass link, responding to a message or enrolling in training; routine automated delivery does not restart the period |
| Active learner or customer record | For the duration of the relationship and then for the period required by our retention schedule and applicable legal obligations |
| Marketing consent record | While marketing continues and afterwards for the period reasonably required to demonstrate when and how consent was obtained or withdrawn |
| Marketing-suppression record | The minimum information necessary to honour an unsubscribe or objection, retained for as long as required to prevent accidental re-enrolment |
| Test submissions and test contacts | Deleted or anonymised promptly after successful integration testing |
| Security and workflow logs | For the shortest period reasonably required for security, fault diagnosis and audit purposes |
We delete or anonymise information when it is no longer required, unless we need to retain it to meet a legal obligation, establish or defend legal claims, prevent unwanted marketing or address a security issue.
Meta, HighLevel/LeadConnector, ClientClub and other providers may apply their own retention periods where they act as independent controllers.
9. Automated workflows
We may use an automated workflow to:
- create or update your contact record;
- record the source and campaign associated with your request;
- send the requested masterclass access email;
- place the enquiry in an internal follow-up stage; and
This workflow does not make a solely automated decision that produces legal or similarly significant effects. If the process changes to include profiling, scoring or significant automated decisions, we will review this notice and the associated safeguards before activating the change.
10. Your rights
Subject to the conditions and exemptions in UK data-protection law, you may have the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to delete information;
- ask us to restrict how information is used;
- object to processing based on legitimate interests;
- receive certain information in a portable format; and
- withdraw consent at any time where consent is the lawful basis.
To exercise a right, contact support@thetruetroop.com. We may need to verify your identity before responding.
You have an absolute right to object to direct marketing at any time. Contact us or use the unsubscribe link in a marketing email, and we will stop the direct marketing.
You have the right to make a data-protection complaint directly to The True Troop Consulting Ltd. Email support@thetruetroop.com. We will acknowledge the complaint within 30 days, investigate it appropriately, provide proportionate progress updates and communicate the outcome.
You may also complain to the Information Commissioner’s Office. Information about making a complaint is available on the ICO complaints page. We welcome the opportunity to address your concern directly before you contact the regulator.
11. Security and data minimisation
We collect only the information needed to deliver the masterclass, operate the lead workflow and provide essential support. Access is limited to authorised personnel and controlled through appropriate account permissions, authentication, logging and provider security settings.
We test each website-to-HighLevel and Meta-to-HighLevel integration before launch. This includes field mapping, duplicate handling, access-email delivery and appropriate suppression controls. Test information is not retained as a live prospect record.
12. Changes to this notice
We may update this notice when the campaign, providers, purposes or law changes. The current version will display its effective date. We will communicate material changes affecting consent or your reasonable expectations and, where necessary, obtain fresh consent.
